Information for Presenters

Paper presenters: All rooms will be equipped with PC laptops, a video beam projection system, Internet, and a sound system. We strongly encourage presenters to bring their presentation material on a USB key and use the laptops in the presentation rooms in order to facilitate switching between presenters during a paper session. Although the university’s internet service is very reliable, we strongly recommend that presenters rely only on offline content (e.g., screen shots of websites integrated into PowerPoint presentations) to minimize chances of technical difficulties. If you have any special technical requirements for your presentation, please contact Gerriet Janssen ( with your questions. If paper presenters must use their own laptops, we would like to remind all presenters but especially Mac users that they must be able to connect to a VGA projector cable and bring adapters as necessary.

Session chairs: Professors from the Universidad de los Andes will act as chairs for the paper sessions. Their role is to ensure that the conference schedule is maintained and to contact the appropriate university personnel to address any technical issue that may arise.

Poster size
:  Poster board display dimensions are 190 cm tall, by 150 cm wide. Posters should be this size or smaller to fit the display boards.

Timing of sessions:

  • Papers: Each presenter will have 30 minutes in total, with 20 minutes for the presentation of their work, and 10 minutes for questions and discussion. Five minutes of transition time has been scheduled to allow attendees to switch rooms and the next speaker to set up
  • Works-in-progress: The WIP session lasts 1.5 hours. This allows each WIP presenter to give four 20-minute sessions with four different groups of attendees. We suggest a five minute presentation of their work to allow for ample discussion of the WIP with the attendees. There will be a three-minute break between each 20-minute session. The WIP chair will be responsible for keeping track of time.
  • Poster sessions: The poster session lasts 1.25 hours. Poster presenters are expected to be with their posters to answer attendees questions about their poster.
  • Colloquia: No session chairs have been assigned to the colloquia to allow colloquia organizers to time the symposium as it best suits their needs. Colloquium presenters are therefore responsible for ensuring the different speakers stick to the allotted time limit.

Electricity in Colombia:  Electric current in Colombia is 110 V / 60 Hz, which is similar to, but not equal to the US / Canada, which is 120 V / 60 Hz. Both type A and B plugs and sockets are found (2 and 3 pronged, as found in the US and Canada). While devices from the US / Canada function on Colombian electricity, you may wish to use an adapter or surge protector for sensitive / expensive devices.

Local printing resources
Printing prior to travel is highly recommended.  Limited option for local printing on Monday, July 17 with 50% cash deposit required in person.  For more information, please email Diana Delgado a week prior to traveling at Eduardo's  Please note:  Thursday, July 20th is a public holiday and many businesses will be closed;  please plan accordingly. 

Handouts:  Presenters will be responsible for printing any handouts they wish to share with their audience. Locally, Fotocopiadora Eduardo is a great resource for this (charge 50 pesos - 100 pesos per page, 1.7 or 3.4 cents per page).
